To keep pace with the changing health care environment and build a healthier future for our children, Nemours has embarked on a multi-phase expansion to create a children’s hospital lik! e no other in the region. Upon completion in June 2014, the ho! spital will include private patient rooms, a new Pediatric Intensive Care Unit and a new expanded Emergency Department.

The Department of Pediatrics, located within the Hospital, is seeking the right candidate for an Administrative Secretary II position. The schedule for this position will be Monday through Friday working a 40-hour workweek.

Primary Function

The Administrative Secretary II will provide primary secretarial support to the leadership and staff of Pediatrics Administration in the Department of Pediatrics. This position develops an understanding of the department’s core business and mission in support of enterprise-wide initiatives.

Handles administrative and financial tasks that may include reports, coordination of meetings, agendas and minutes, travel arrangements, mail distribution, preparation of correspondence, drafting and transcribing letters and minutes in the appropriate format, maintaining office supplies and filin! g, as well as management and coordination of communications and activities within the department as directed.

Essential Responsibilities

Process and coordinate Thomas Jefferson University documentation for promotions as required for Department of Pediatrics faculty. Maintain and update professional staff curriculum vitae as required.

Perform administrative tasks such as calendar management, scheduling meetings, coordinating travel arrangements and coordinating internal and external conferences and/or seminars, as required by Pediatric Administration associates.

Maintain and update Kronos system for biweekly payroll for Medical Secretarial Staff in the Department of Pediatrics in accordance with the Timekeeping Policies of Nemours. Maintain time records on staff reporting to the Associate Administrator of Pediatrics.

Is responsible for various financial and administrative documentation for the Department of Pediatrics.

De! partmental resource for various computer applications, such as Lawson, ! Epic, Excel, etc. Training will be provided as needed.

Answer telephones and respond to inquiries in a courteous, professional manner. Refer calls as appropriate. Provide telephone cross-coverage within the Department of Pediatrics as needed.

Maintain and document that all Department of Pediatric staff members have taken the required mandatories as set by the Nemours Children’s Clinic and A.I. duPont Hospital for Children (Nemours University).

Education, Training and Experience

High school graduate or equivalent.

Associate's degree required; Bachelor's degree preferred.

Minimum of 3 to 5 years’ secretarial experience.

Computer literate with keyboard knowledge of institutionally used software packages; MS Outlook, Excel and PowerPoint are required.

Ability to develop spreadsheets and databases to include gathering appropriate information.
