Hair Club (Pvt) Limited ( www.hairclub.com.pk) is a leading chain of hair transplant clinics with a growing presence in Pakistan. As the Executive Coordinator for the President of the group and other senior Directors, you will be responsible for providing high-level administrative support and coordination. You will be an integral part of the team, assisting in managing the President & Directors's schedule, organizing meetings, and handling confidential information with utmost professionalism. Your role will require exceptional organizational skills, attention to detail, and the ability to work effectively in a fast-paced healthcare environment.
Responsibilities:
Schedule Management: Coordinate and manage the director's calendar, including scheduling appointments, meetings, and travel arrangements.
Prioritize and resolve conflicts in the President's schedule, ensuring optimal time management.
Communication and Correspondence: Draft and prepare correspondence, memos, reports, and presentations on behalf of the President and directors. Handle incoming and outgoing communications, including email, phone calls, and mail, with discretion and professionalism. Manage internal and external stakeholders, acting as a liaison between the President and various departments, clinics, and external partners.
Meeting and Event Coordination: Plan and organize meetings, conferences, and special events, including logistics, venue selection, catering, and audiovisual setup.
Prepare meeting agendas, coordinate materials, and ensure timely distribution to attendees. Attend meetings, take minutes, and prepare accurate and concise meeting summaries.
Information Management: Maintain a comprehensive and confidential filing system, both electronic and physical, for the President's office.
Compile and analyze data, generate reports, and assist in the preparation of presentations and executive summaries.
Conduct research, gather information, and prepare briefs on various topics as required.
Project Support: Assist the President in managing special projects and initiatives, tracking progress, and ensuring deadlines are met. Collaborate with cross-functional teams to facilitate project coordination and ensure effective communication.
Confidentiality and Discretion: Handle sensitive and confidential information with utmost professionalism and maintain a high level of discretion at all times.
Requirements:
- Bachelor's degree in business administration, healthcare management, or a related field (preferred).
- Proven experience as an executive coordinator or similar role, preferably in a healthcare or medical setting.
- Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
- Strong written and verbal communication skills, including the ability to draft professional correspondence and reports.
- Proficiency in office productivity tools (e.g., Microsoft Office Suite, calendar management software).
- Attention to detail and the ability to maintain accuracy while working under pressure.
- Discretion and professionalism when handling confidential and sensitive information.
- Strong interpersonal skills, with the ability to build effective relationships and work collaboratively with diverse stakeholders.
- Flexibility and adaptability to timings and changing priorities.
- Knowledge of healthcare industry regulations and practices (desirable).

Salary: Rs50,000.00 - Rs60,000.00 per month
