What will you be doing?

The Supervisor, Documentation leads the Documentation Administrators/Specialists and all their functions and works collaboratively with departments to ensure Credit Union documentation is organized, easy-to-read, properly implemented and maintained, and easily accessible.

Key Responsibilities:

· Leads Documentation Administrators and Specialists: recruitment and selection, training, coaching, learning and development, career development and planning, establishing performance goals, and assessing performance.

· Responsible for effective scheduling and assigning tasks to ensure efficient department services.

· Coordinates documentation projects amongst the team, assists with work assessments and deliverable completion

· Improve document quality through discussions with end users, and in line with industry right practices

· Prepares new procedures, forms, or letters, and supports updates to guidelines, manuals, etc. in collaboration with content owners, following defined templates and processes

· Completes proofreading and editing of documents prior to publication

· Ensures documents follow approved templates and adhere to brand and documentation standards

· Stays up-to-date on regulation, legislation, and policy requirements, and ensure consistency throughout company documentation

· Manages the document control register (version, review timeframes, etc.) for internal control/audit purposes

· Manages and maintains document storage, including archiving, retrieval, source data control, and user access (functional responsibilities)

· Implements platforms and supporting tools to simplify employee accessibility to documents and document searchability (user support needs)

· Supports training on documentation usage, as/when required

· Maintains thorough knowledge of and adhere to credit union policies and procedures

· Maintain familiarity with the Credit Union as a whole (history, strategy - vision, priorities, and values, and functional areas)

What do you need?

  • Grade 12 diploma or equivalent
  • Business Administration or other post-secondary education considered an asset
  • Project management experience an asset
  • Minimum 1-3 years of related experience in a similar role, preferably in the financial services industry
  • Excellent organization skills
  • Ability to follow standardized regulations
  • Proficient computer skills, including Microsoft Word and Excel
  • Attention to detail with high degree of accuracy
  • Ability to work in fast-paced environment and perform well under pressure
  • Ability to prioritize using sound judgment to make timely and effective decisions
  • Strong interpersonal and communication skills, both verbal and written
